Final fee payments for marching season are now due in full.
Issues:
Meal budget is almost used up. Suggested we increase to cover to end of season
Sheet Music: Jerry has spent more than 2x budgeted amount. Jazz band music is most of it although they did earn over $700 by performing that could be applied to this cost. Discussed Jazz band purchasing own hat as part of “costume”.
JoAnn:
Guard Uniforms: Discussed Guard using marching uniform for winter guard and purchasing base uniform that would be parade usable with remaining budget (@$1,500 plus Spring/Fall budget @$4,000). Nancy motioned to make purchase and motion carried.
Golf Recap: Profit $8,500. Tentatively reserved for next year already either (Sat) Sept 19 or (Mon) Sept 21 at Red Hawk Golf Course. Cost would be M-TH $45/per or Sat $65 per (what we paid this year) . It was suggested we move date later in year or to a Sat but we can’t compete with other school golf tournament. Suggested we do better job promoting dinner/auction and would be better sell on a Saturday. Looking to fill committee spots early so we can get a jump on planning and acquiring sponsors/donations. Hospitality: 1-2, Sponsor finders: 6, T-Shirts: 1-2, Trophy’s: 1-2, Goodie Bags: 3-4, Auction Baskets: Committee. Vol. Coord. Will get volunteers, chairman will assign jobs. Need to approach large corporations before end of year and it was also suggested we approach politicians who may have left over campaign funds that need to be donated. Suggested we also pre-order Golf shirts for those who may want one but may not be golfing.
Shereen:
Fundraising: Spirit Wraps will be shipped Nov. 3 but will be sent to San Francisco due to shipping conflict which will cause us to incur higher shipping cost ($392.40) Shereen looking into a better solution.
Park Lane: Maria Radoumis presented the Park Lane Fundraiser. 50% of net sales to be given to the individual accounts. Passed out many flier packets. Orders due by Dec1 and will be in by Christmas.
Restaurants: Noodles around the World – Nov 14th, Applebees Flapjack Fundraiser – Dec 6 (Would like band to play.
Exchange Students from Australia: We’ve been asked to be a host in January for 10 days. Would give 20 community service hours to students who host and raise $1,600 for the band. Ages range from 14-17 plus the chaperones. Would need to provide own bed but can share room, and some meals. 37 girls and 7 boys in group. Shereen would like to have meeting for those families interested tomorrow, Oct. 29 at 7:45pm in the band room.
Jerry:
Scholarship money available for DC.
Selected a committee to develop criteria: JoAnn, Nancy, Marsi. It was suggested that it be a matching program: For every $2 earned, we would match $1 up to max of $500. That would enable us to potentially help 3 students get there. All agreed. Other considerations: Band fees current, making effort to fundraise, leadership, financial need
Trunk or Treat: Set up car trunks in quad area, decorate and hand out candy to our trick or treater band kids on Friday before the game.
Reviewed coming competitions at RCC and Riverside King HS.
Announced that the City has pulled its grant money again and didn’t give it to any school.
Nancy: Washington DC meeting is Monday Nov 2. Said our numbers dropped from 94 to 82.
Tami: Suggested that we put in place a suggestion box for comments and concerns. John suggested notes can be left in the locked drop box where we put payments.
Teresa: Water Donations needed. I will send email asking for donations and that they can be brought to the band room before, during rehearsals.
