GOHS Band Booster Board Meeting

September 23, 2008  ♫   Band Room  ♫  6:00 pm

 

Call to order at 6:00 pm

 

In attendance:  John & Pam Rossi, Joann Larsen, George & Nancy Marshall, Marsi Yount, Scott & Lucy Thudium, Meg Berry, Jacki Butzke, Sharon Matus, Tammi Martin, Austin Cope, Shereen Dombkowski, Mimi Beter, Don Craven.

 

Financials:  Jeanne Davis

 Income: $97,821.26, Expenses: $37,968.87, Current Balance: $59,852.39 (which includes DC fees that will be paid out this coming week).  Statements are available for following All Parent Meeting. 

Marching Band/Guard Fees: Payments 1 & 2 should already be made ($250/ea), last payment due Oct. 15 ($250)

Washington DC Trip: Payment 1 & 2 ($100 & $250) should already be paid, next payment due October 6 ($250).

 

Received transportation bill from district for 9-11 and it appears we were only charged ½ the fees we expected, no charge for driver/hours)

Still 2 CG members who have not paid fees – will not participate in Oct 11 performance, uniforms will be pulled if not paid by then and students/parents will be notified in advance.

 

Fundraisers – Shereen Dombkowski

Passed out Fundraising spreadsheet detailing all fundraisers, start/end dates and student account impact..

 

Uniforms:  Lucy Thudium

Once again asked for database from Jerry of all alumni and students who signed up for band and then dropped.  Suggested we split up the names and personally call them to find if they have any uniform pieces and then go get them.  All agreed - Waiting for list

 

Volunteers/Chaperones:

Phone tree:  13 people signed up on the volunteer form, we need to add Deborah Marty who has been acting in that capacity unofficially.  Splitting up the roster and assigning group of names to each to be the Point of Contact to inform our band members of info in case they never read their emails.

Need a few more volunteers for October 11th

Need 1 more for Football game on Oct 3rd

Preview of Champions – Need as many as we can get

Requested we purchase 4 sets of walkie talkies to assist in our campus wide events.  Mimi Beter volunteered to purchase the phones – rechargeable was requested.

 

 Jerry:

Discussed and asked for feedback on a basic timeline for performances to include water breaks and snack/meal breaks to be posted on the web.

 

 

Golf Fundraiser:  Joann Larsen

The tournament netted @$8,500 after expenses.  Everyone had a great time.

 

Washington DC Trip: Nancy Marshall

80 performer spots , 12 not committed yet

Meg Motioned to pay next payment of $12,350 being mailed tomorrow (due Oct. 1). Motion Carried.

Board concurred to give hard cut off date for DC performers to commit by paying fees Next meeting is October 6th at 7pm in the Band Room.

Next payment due of $250

Joann motioned that all DC attendees need to be current w/payments by Oct 21st or make arrangements to be so to stay on DC Roster.  Motion Carried.

 

October 1 at 7pm - planning meeting set to discuss status of trip, fundraising, get a 30 day rough estimate of extra fundraising needed to cover meals, gratuities, fuel charges, shipping of equipment, transportation to and from LAX (although possibility of flying out of Ontario)

 

Need to contact those original DC students who took Pauma Granite Tickets at first meeting but dropped to get tickets back.
